Document Retention & Deletion Policy

This Policy defines how long DubaiPropertyLoan retains uploaded documents, personal data and operational records, and how those records are deleted.
1. Active applications
Documents uploaded to an open mortgage application are retained for the duration of the application and remain accessible to the client, the assigned broker (and assigned agents) and Namvio Web Services administrators.
2. Closed or withdrawn applications
When an application is marked closed, approved, rejected or withdrawn, documents enter a retention window of retention-window-months months during which the broker may still demonstrate diligence to the bank or regulator. After the window expires, documents are deleted or anonymised unless a legal hold applies.
3. Account deletion
When an account is deleted in line with the Account Deletion Policy, personal data is removed within 30 days, except for records we are required to retain for billing, tax, anti-fraud or legal reasons.
4. Backups
Backups are retained for backup-retention-days days under the Backup & Disaster Recovery Policy and are overwritten on rotation. Deletion of live data is propagated to backups on the next rotation cycle.
5. Logs and audit trails
Security logs and audit trails are retained for log-retention-months months. AI usage logs are retained in line with the AI Governance Policy.
6. Legal holds
Where Namvio Web Services is legally required to preserve data (for example for an investigation), the relevant records are placed under hold and exempted from the deletion schedule for the duration of the hold.
